Recurring invoices
An Apskaita5 add-on for preparing and issuing recurring service invoices from templates.
It helps the accountant to:
- prepare each period's invoice automatically: create a template per client (monthly, quarterly or yearly), define the services, prices and discounts - the add-on computes every cycle's dates;
- enter only what changes: mark a line as "enter each cycle" and the add-on asks for the quantity before issuing;
- issue several invoices in one action: select the prepared cycles - every invoice is created the usual way, with the normal numbering, VAT, accounting entries and payment terms;
- review before anything is issued: prepared cycles are listed with amounts and statuses; a wrong cycle can be fixed or skipped before issuance.
In short: you create a template (or generate it from an existing invoice with the "Periodinis" button) -> each period the add-on prepares the invoice -> you enter variable quantities -> select and issue. The invoices become normal Apskaita5 sales invoices.
Creating a template
- Apskaita5 -> "Dokumentai" -> "Periodinės sąskaitos…" -> the "Šablonai" tab -> "Naujas".
- Enter:
- a name (for your own reference) and the client;
- the frequency: monthly, quarterly or yearly;
- the issue day (1-31; in a shorter month it clamps to the month end, e.g. the 31st becomes the last day of February);
- the service period: current, previous or next (e.g. an invoice issued on January 5th covering December's services - choose "previous");
- the start date (and, if known, the end date), the serial and, optionally, the invoice content;
- the service lines: a service from its card, description, unit, price, quantity, quantity mode (fixed or enter each cycle) and discount.
- The preview at the bottom immediately shows the three upcoming cycles.
- Press "OK".
Descriptions can carry fields (the "Įterpti lauką" button): service period start, service period end, month, year. For example, "Hosting for {MENESIS} ({PERIODO_PRADZIA} - {PERIODO_PABAIGA})" becomes "Hosting for 11 (2026-11-01 - 2026-11-30)" in each cycle.
A template from an existing invoice
Open a saved service invoice and press the "Periodinis" button. The template is prefilled with the client, serial, content and service lines with prices - you only add the frequency and dates. Lines that are not services (goods, assets) are not carried into the template.
Reviewing and issuing prepared cycles
- Switch to the "Išrašymas" tab of the same window and pick a month.
- The add-on lists that month's prepared cycles: client, service period, planned date, amount and status. With "Rodyti pavėluotas" enabled you also see earlier unissued cycles - they are never backdated (the invoice date is always today).
- Selecting a cycle shows its lines: enter missing quantities (zero is valid), adjust prices or add a one-off line if needed, then press "Išsaugoti eilutes".
- Mark an unneeded cycle with "Praleisti ciklą" - it stays in the list as skipped.
- Tick the ready cycles and press "Išduoti pažymėtas". After issuance the invoice numbers are listed; open one with "Atidaryti sąskaitą" or from the usual invoice list.
Issued invoices are ordinary Apskaita5 sales invoices: numbering, VAT, accounting entries and printing behave exactly like a manually entered invoice. Send them with the usual send operation.
Changing a template
When editing a template you choose what the change applies to:
- "Tik šiai sąskaitai" - changes only the prepared (not yet issued) cycles, leaving the template itself as it was;
- "Šiai ir būsimoms sąskaitoms" - updates both the template and the prepared cycles from the chosen period on (the add-on warns how many prepared cycles will be refreshed).
Issued invoices are never changed afterwards - correct them the usual way, like any invoice.
A template can be paused (e.g. for a seasonal break - no new cycles are created) and resumed (cycles continue from the resume date; the break's cycles are not created retroactively). "Baigti" ends the template; history and issued invoices remain.
Limitations
- Designed for service invoices (goods and warehouse operations are not included).
- Invoices are prepared and issued manually - no automatic sending.
- Partial first or last periods are not prorated automatically: review such a cycle, edit or skip it if needed.
